Forms of Business Communication
Defining and having corporate objectives provides two major benefits. First, you will be more efficient because you will no longer waste time writing or presenting material unless you have a clear reason for doing so. Second, you will be more effective because formulating objectives precisely will help you communicate more clearly. The time needed to define the objectives will obviously vary: routine matters may take matter of seconds; more complex matters may take much longer.
The purpose of all business communication is to further corporate objectives of the company or the organization. Time at workplace is generally too short and valuable to waste on communications which do not achieve this goal.
Types of Communication
Business communication can be of various types and forms- verbal, non-verbal, written and a combination or mixture of these. Today, we also have the audio, audio-visual and sensory kind of communication means.
Communication can be for internal audiences (within the organization) and external audiences (out side the organization), and at the personal, corporate and product or service levels.
Internal communication- means the provision and passing on information and instructions which enable a company or an organization to function efficiently and the employees to be properly informed.
External communication is largely concerned with information about the organization to outside target audiences. But employees cannot be entirely isolated from it since they have a strong interest in the happenings in the organization.
Verbal Communication
Managers and supervisors in organizations spend most of their time at work in communicating verbally- in speaking to their colleagues, subordinates and seniors. As with all communication, the objective of verbal communication is to achieve understanding to get desired response and action. In other words, the right results.
The Written Word
Unlike the verbal communication, which to a greater or lesser extent is two-way, written communication is in the first instance one-way- from the sender to the receiver. The response to any written communication is later and slower than in a face-to-face meeting or telephone conversation. The writer can rarely be present to see the response of the reader directly, until the receiver responds (writes) back.
The written word, however, has probably contributed most to the progress of technology, and society and than any other single factor. It is a universal means of communicating and our whole way of life depends on it.
Non Verbal Communication
Non verbal business communication in our context means use of a media that supplements or supports oral and often written communication and presentations, such as the audio-visual media. In this, a slide projector and slides are hardware. However, using a slide to show a concept is software.
